WebHQ E-Mail Configuration Help

Email addresses and mailboxes

To configure an email address, select the Addresses option under the E-Mail heading in webHQ. From here, a page should appear on the left hand side of your browser with the option of creating a new address. Click on this link.

A list of the current email addresses will appear. To add a new address, click the "Create a new Address" link. Enter the address that you would like to create, a description can also be used if required, and finally click the submit button to create the address. The next step involved is to create an action for the email address. To do this, click the "Actions" link next the corrosponding email address. A creating e-mail address screen should appear. In the "E-Mail address" field, type in the name of the e-mail address which you wish to setup and set the action method to "Deliver locally". Then in the "Deliver To" field, select the name of the mailbox you wish the email messages to go to. To apply the changes, click on the "Create Address" button.

Next, click on the Passwords option under the E-Mail heading on the left hand side of the screen, and in the password field which applies to the appropiate mailbox, type in the password you wish to use. Once this has been completed, click the "Save Changes" button.

Accessing mail for the new mail address

The following two guides have been prepared to help aid users in the configuration of their email clients to access mail from their mailboxes.

WebHQ Terms:

Email Address
This is the email address that is created for receiving or forwarding of email. You can give this address to clients and associations for communication.

A special address of default can be created to capture email that is written to any addresses not otherwise created (ie. default is a Catch All address).
Forward To
When delivering the selected email address to a remote email address (Forward to) enter the remote email address here.
Deliver To
When delivering the selected email address to a Local Mailbox, select the required local POP3 mailbox here.
Auto Respond
This is an option you can include in your actions which will allow a specified response be sent back to anyone sending email to the email address. This is usually used as a courtesy to let the sender know their email has reached its destination
Auto Response Text
This is the text of an Automated Response message. This is a variable size with no set limit.
Auto Response Subject
When generating an Automatic Response message this will be the Subject of the email message.
No Addresses Defined
Your WEBConnect account currently has no email addresses defined. You can define a unlimited number of email addresses in the form of address@domain.

Each address can have a number of functions including:
  • Local Delivery
  • Forward to Another Address
  • Automatically respond

Local Delivery
To deliver mail to a local WEBConnect POP3 mailbox for collection with your favourite email software.

Forward to Another Address
To forward mail to another email address on the Internet

Automatically Respond
Send a pre-written email as an automated response to the original email request. This is sometimes called an Autoresponder.
Action
Each email address has an action associated with it. Available actions are:
  • Local Delivery
  • Forward to Another Address
  • Automatically respond
